Die Teilnahme an der Umfrage “Besuchendenfeedback zur ScieCon Frankfurt 2024” ist ein Angebot der btS – Life Sciences Studierendeninitiative e.V. (im Folgenden „wir“/„uns“) und beachtet selbstverständlich die gesetzlichen Bestimmungen der Datenschutzgrundverordnung (DSGVO), des Bundesdatenschutzgesetzes Neu (BDSG-neu) sowie andere datenschutzrechtliche Bestimmungen.
Mit den nachfolgenden Informationen geben wir Ihnen einen Überblick über die Verarbeitung Ihrer personenbezogenen Daten im Rahmen der Umfrage und die Ihnen nach dem Datenschutzrecht zustehenden Rechte.
1. Wer ist für die Datenverarbeitung verantwortlich und an wen können Sie sich wenden?

3. Verarbeitung personenbezogener Daten
3.1. Bereitstellung der Umfragewebseite und Erstellung von Log-Files
a. Beschreibung und Umfang der Datenverarbeitung?
Bei jedem Aufruf unserer Umfragewebseite werden aus technischen Gründen nachfolgende Daten, die Ihr Browser übermittelt, automatisch gespeichert:
- IP Adresse, Datum, Uhrzeit, URL und User Agent.
Unser System speichert Ihre personenbezogenen Daten in den Logfiles. Diese Daten werden nicht mit anderen Sie betreffenden personenbezogenen Daten gespeichert.
Ihre IP – Adresse wird durch unseren Server anonymisiert gespeichert.
Ebenso werden fehlerhafte Seitenaufrufe in den Error – Logs protokolliert. Diese beinhalten neben den Fehlermeldungen die zugreifende IP – Adresse und je nach Fehler die aufgerufene Webseite.
b) Rechtsgrundlage für die Datenverarbeitung
Rechtsgrundlage für die vorübergehende Verarbeitung der Daten und der Logfiles ist Art. 6 Abs. 1 S. 1 Buchst. f DSGVO.
c) Zweck der Datenverarbeitung
Die vorübergehende Verarbeitung Ihrer IP-Adresse durch unser System ist erforderlich, um die Bereitstellung der Umfragewebseite an Ihrem Endgerät zu ermöglichen. Weiterhin nutzen wir Ihre personenbezogenen Daten, um unsere Umfragewebseite zu optimieren und die Sicherheit unserer IT-Systeme zu gewährleisten. Dabei werden Ihre Daten nicht zu Marketingzwecken verarbeitet. Daraus ergibt sich auch unser berechtigtes Interesse an der Datenverarbeitung.
d) Dauer der Speicherung
Die in Abs. 4 S. 1 Buchst. a erhobenen Daten werden nach 60 Tagen gelöscht. Die Error – Logs werden nach 7 Tagen gelöscht.
e) Widerspruchs- und Beseitigungsmöglichkeit nach Art. 21 DSGVO
Es besteht keine Möglichkeit, dieser Datenverarbeitung zu widersprechen, da die Verarbeitung der Daten für die Bereitstellung der Webseite zwingend erforderlich ist.
3.2. Teilnahme an der Umfrage
a. Welche Quellen und Daten nutzen wir?
Wir verarbeiten personenbezogene Daten, die wir im Rahmen der Umfrage “Besuchendenfeedback zur ScieCon Frankfurt 2024” von Ihnen erhalten.
Relevante personenbezogene Daten sind insbesondere Studienfach, Fachsemester und Ihre E-Mail-Adresse.
b. Rechtsgrundlage für die Verarbeitung
Wir verarbeiten Ihre personenbezogenen Daten unter Beachtung der EU-Datenschutzgrundverordnung (DSGVO) sowie des neuen Bundesdatenschutzgesetzes (BDSG). Die Verarbeitung Ihrer personenbezogenen Daten ermöglicht uns, Ihnen die Teilnahme an der Umfrage zuzusichern.
i. Aufgrund Ihrer Einwilligung (Art. 6 Abs. 1 S. 1 Buchst. a DSGVO)
Die Verarbeitung Ihrer personenbezogenen Daten erfolgt aufgrund der von Ihnen uns gegenüber erteilten Einwilligung. Eine erteilte Einwilligung kann jederzeit widerrufen werden. Bitte beachten Sie, dass der Widerruf erst für die Zukunft wirkt. Verarbeitungen, die vor dem Widerruf erfolgt sind, sind davon nicht betroffen. Rechtsgrundlage für diese Verarbeitungen ist Art. 6 Abs. 1 S. 1 Buchst. a DSGVO.
ii. Im Rahmen der Interessenabwägung (Art. 6 Abs. 1 S. 1 Buchst. f DSGVO)
Weiterhin verarbeiten wir Ihre personenbezogenen Daten, um berechtigte Interessen von uns oder von Dritten zu wahren. Dies kann insbesondere erforderlich sein:
* zur Bereitstellung der Webanwendungen mittels derer Sie an der Umfrage teilnehmen,
Rechtsgrundlage für diese Verarbeitungen ist Art. 6 Abs. 1 S. 1 Buchst. f DSGVO.
c. Wer bekommt Ihre Daten?
Empfänger Ihrer Daten sind Personen, welche für den Verein tätig sind und Ihre Daten erforderlicherweise verarbeiten müssen. Daneben können gegebenenfalls sogenannte Auftragsverarbeiter nach Art. 28 DSGVO Ihre Daten im Zuge einer Dienstleisterfunktion erhalten, wie Hosting-Dienstleister. Eine sonstige Übermittlung Ihrer personenbezogenen Daten an Dritte findet nicht statt.
d. Wie lange werden Ihre Daten gespeichert?
Ihre im Rahmen der Umfrage erhobenen Daten werden nur so lange verarbeitet wie es zur Durchführung der Umfrage erforderlich ist. Eine Löschung Ihrer personenbezogenen Daten erfolgt regelmäßig unverzüglich nach der Durchführung der Umfrage.
4. Werden Ihre Daten in ein Drittland oder an eine internationale Organisation übermittelt?
Eine Datenübermittlung in Länder außerhalb der EU bzw. des EWR (sogenannte Drittstaaten) findet nicht statt, mit folgender Ausnahme:
Durch die Nutzung von Office 365 und verwandter Anwendungen findet im Rahmen der Support- und Hosting-Dienste der “Microsoft Corporation” eine teilweise Übertragung von personenbezogenen Daten in die USA statt. Teil des Vertragsverarbeitungsabkommens mit Microsoft sind EU-Standardvertragsklauseln, die gemäss Art. 46 Abs. 2 Buchst. c GDPR geeigneten Garantien für die Datenübermittlung in Drittstaaten entsprechen.
5. Welche Datenschutzrechte haben Sie?
Sie haben das Recht:
* gemäß Art. 7 Abs. 3 DSGVO Ihre einmal erteilte Einwilligung jederzeit gegenüber uns zu widerrufen. Dies hat zur Folge, dass wir die Datenverarbeitung, die auf dieser Einwilligung beruhte, für die Zukunft nicht mehr fortführen,
* gemäß Art. 15 DSGVO Auskunft über Ihre von uns verarbeiteten personenbezogenen Daten zu verlangen,
* gemäß Art. 16 DSGVO unverzüglich die Berichtigung unrichtiger oder Vervollständigung Ihrer bei uns gespeicherten personenbezogenen Daten zu verlangen,
* gemäß Art. 17 DSGVO die Löschung Ihrer bei uns gespeicherten personenbezogenen Daten zu verlangen, soweit nicht die Verarbeitung zur Ausübung des Rechts auf freie Meinungsäußerung und Information, zur Erfüllung einer rechtlichen Verpflichtung, aus Gründen des öffentlichen Interesses oder zur Geltendmachung, Ausübung oder Verteidigung von Rechtsansprüchen erforderlich ist,
* gemäß Art. 18 DSGVO die Einschränkung der Verarbeitung Ihrer personenbezogenen Daten zu verlangen, soweit die Richtigkeit der Daten von Ihnen bestritten wird, die Verarbeitung unrechtmäßig ist, Sie aber deren Löschung ablehnen und wir die Daten nicht mehr benötigen, Sie jedoch diese zur Geltendmachung, Ausübung oder Verteidigung von Rechtsansprüchen benötigen oder Sie gemäß Art. 21 DSGVO Widerspruch gegen die Verarbeitung eingelegt haben,
* gemäß Art. 20 DSGVO Ihre personenbezogenen Daten, die Sie uns bereitgestellt haben, in einem strukturierten, gängigen und maschinenlesbaren Format zu erhalten oder die Übermittlung an einen anderen Verantwortlichen zu verlangen.
Ihre erteilte Einwilligung zur Verarbeitung Ihrer personenbezogenen Daten im Rahmen der Umfrage können Sie jederzeit mit Wirkung für die Zukunft widerrufen. Ein Widerruf der Umfrage kann wie folgt erfolgen. Sie können Ihre Abmeldung und Ihre Rechte durch formlose Mitteilung in Textform uns gegenüber geltend machen.
Hierzu ist eine Email an datenschutz@bts-ev.de ausreichend.
6. Besteht für Sie eine Pflicht zur Bereitstellung von Daten?
Sie sind nicht verpflichtet, Ihre Daten zu vorbezeichneten Zwecken zur Verfügung zu stellen. Eine Verweigerung der Bereitstellung Ihrer personenbezogenen Daten hat jedoch zur Folge, dass Sie nicht an der Umfrage teilnehmen können.
7. Inwieweit gibt es eine automatisierte Entscheidungsfindung (einschließlich Profiling)?
Wir nutzen grundsätzlich keine vollautomatisierte Entscheidungsfindung gemäß Art. 22 DSGVO.
8. Inwieweit werden Ihre personenbezogenen Daten für die Profilbildung (Scoring) genutzt?
Wir verarbeiten Ihre personenbezogenen Daten nicht mit dem Ziel, bestimmte persönliche Aspekte zu bewerten (Profiling).
9. Beschwerderecht
Sie haben das Recht, sich mit einer Beschwerde an eine Datenschutzaufsichtsbehörde zu wenden, wenn sie der Ansicht sind, dass die Verarbeitung der Sie betreffenden personenbezogenen Daten gegen die Datenschutzgrundverordnung verstößt. In der Regel können Sie sich hierfür an die Aufsichtsbehörde Ihres Aufenthaltsortes oder Ihres Arbeitsplatzes wenden.

The event registration for the event “Besuchendenfeedback zur ScieCon Frankfurt 2024” is an offer of the btS - Life Sciences Studierendeninitiative e.V. 3. Processing of personal data
3.1 Provision of the survey website and creation of log files
a) Description and scope of data processing
Every time you visit our survey website, the following data transmitted by your browser is automatically stored for technical reasons:
- IP address, date, time, URL, and user agent.
Our system stores your personal data in the log files. This data is not stored with other personal data concerning you.
Your IP address is stored anonymously by our server.
Likewise, erroneous page requests are logged in the error logs. In addition to the error messages, these contain the accessing IP address and, depending on the error, the accessed website.
b) Legal basis for data processing
The legal basis for the temporary processing of the data and the log files is Art. 6 para. 1 s. 1 lit. f GDPR.
c) Purpose of the data processing
The temporary processing of your IP address by our system is necessary to enable the provision of the survey website to your device. Furthermore, we use your personal data to optimize our survey website and to ensure the security of our IT systems. Your data will not be processed for marketing purposes. This also constitutes our legitimate interest in data processing.
d) Duration of storage
The data collected in para. 4 s. 1 lit. a will be deleted after 60 days. The error logs are deleted after 7 days.
e) Possibility of objection and removal according to Art. 21 DSGVO.
There is no possibility to object to this data processing, as the processing of the data is imperative for the provision of the website.
3.2 Participation in the survey
a) What sources and data do we use?
We process personal data that we receive from you as part of the “Besuchendenfeedback zur ScieCon Frankfurt 2024” survey.
Relevant personal data include, in particular, your field of study, semester of study and your city.
b) Legal basis for processing
We process your personal data in compliance with the EU General Data Protection Regulation (DSGVO) and the new Federal Data Protection Act (BDSG). Processing your personal data enables us to guarantee your participation in the survey.
i. Based on your consent (Art. 6 para. 1 s. 1 lit. a DSGVO).
The processing of your personal data is based on the consent you have given us. Consent given can be revoked at any time. Please note that the revocation is only effective for the future. Processing that took place before the revocation is not affected. The legal basis for these processing operations is Art. 6 para. 1 p. 1 lit. a DSGVO.
ii. In the context of balancing interests (Art. 6 para. 1 p. 1 lit. f DSGO).
Furthermore, we process your personal data in order to protect legitimate interests of us or of third parties. This may be necessary in particular:
* to provide the web applications by means of which you participate in the survey,
The legal basis for these processing operations is Art. 6 para. 1 p. 1 lit. f DSGVO.
c. Who receives your data?
Recipients of your data are persons who work for the association and must process your data as required. In addition, so-called processors according to Art. 28 DSGVO may receive your data in the course of providing a service, such as hosting service providers. No other transfer of your personal data to third parties will take place.
d. How long will your data be stored?
Your data collected as part of the survey will only be processed for as long as it is necessary to carry out the survey. Your personal data is regularly deleted immediately after the survey has been carried out.
4. Will your data be transferred to a third country or to an international organization?
Data transfer to countries outside the EU or EEA (so-called third countries) does not take place, with the following exception:
Through the use of Office 365 and related applications, a partial transfer of personal data to the USA takes place as part of the support and hosting services of the "Microsoft Corporation". The contractual processing agreement with Microsoft includes EU standard contractual clauses which, according to Art. 46 para. 2 lit. c GDPR, are appropriate safeguards for the transfer of data to third countries.
5. What data protection rights do you have?
You have the right:
* in accordance with Art. 7 para. 3 DSGVO to revoke your consent once given to us at any time. This has the consequence that we will in the future no longer continue the data processing based on this consent,
* in accordance with Art. 15 DSGVO, to request information about your personal data processed by us,
* in accordance with Art. 16 DSGVO, to request without undue delay the rectification of inaccurate or incomplete personal data held by us,
* in accordance with Art. 17 DSGVO, to request the deletion of your personal data stored by us, unless the processing is necessary for exercising the right to freedom of expression and information, for compliance with a legal obligation, for reasons of public interest or for the establishment, exercise or defence of legal claims,
* in accordance with Art. 18 DSGVO, to request the restriction of the processing of your personal data, insofar as the accuracy of the data is disputed by you, the processing is unlawful, but you object to its erasure and we no longer need the data, but you need it for the assertion, exercise or defence of legal claims or you have objected to the processing in accordance with Art. 21 DSGVO,
* in accordance with Art. 20 DSGVO, to receive your personal data that you have provided to us in a structured, common and machine-readable format or to request that it be transferred to another controller.
You can revoke your consent to the processing of your personal data within the scope of event registration at any time with effect for the future. A revocation of the event registration can be made as follows. You can assert your revocation and your rights by informal text communication to us.
An informal e-mail to datenschutz@bts-ev.de is sufficient for this purpose.
6. Is there an obligation for you to provide data?
You are not obliged to provide your data for the aforementioned purposes. However, refusal to provide your personal data means that you cannot participate in the survey.
10. To what extent is there automated decision-making (including profiling)?
As a matter of principle, we do not use fully automated decision-making in accordance with Art. 22 DSGVO.
11. To what extent is your personal data used for profiling (scoring)?
We do not process your personal data with the aim of evaluating certain personal aspects (profiling).
12. Right of complaint
You have the right to lodge a complaint with a data protection supervisory authority if you believe that the processing of personal data concerning you violates the General Data Protection Regulation. As a rule, you can contact the supervisory authority of your place of residence or workplace for this purpose.

13. Right to object
If your personal data is processed based on legitimate interests in accordance with Art. 6 para. 1 s. 1 lit. f DSGVO, you have the right to object to the processing of your personal data on grounds relating to your particular situation in accordance with Art. 21 DSGVO. If you object, we will no longer process your personal data unless we can demonstrate compelling legitimate grounds for the processing which override your rights and freedoms, or the processing is for the establishment, exercise or defence of legal claims. You can assert this right by informal notification in text form to us.

6. Is there an obligation for you to provide data?
You are not obliged to provide your data for the aforementioned purposes. However, refusal to provide your personal data means that you cannot participate in the survey.
10. To what extent is there automated decision-making (including profiling)?
As a matter of principle, we do not use fully automated decision-making in accordance with Art. 22 DSGVO.
11. To what extent is your personal data used for profiling (scoring)?
We do not process your personal data with the aim of evaluating certain personal aspects (profiling).
12. Right of complaint
You have the right to lodge a complaint with a data protection supervisory authority if you believe that the processing of personal data concerning you violates the General Data Protection Regulation. 13. Right to object
If your personal data is processed based on legitimate interests in accordance with Art. 6 para. 1 s. 1 lit. f DSGVO, you have the right to object to the processing of your personal data on grounds relating to your particular situation in accordance with Art. 21 DSGVO. If you object, we will no longer process your personal data unless we can demonstrate compelling legitimate grounds for the processing which override your rights and freedoms, or the processing is for the establishment, exercise or defence of legal claims. You can assert this right by informal notification in text form to us.
